VILLAGE CHURCH FACILITIES

Welcome to the Village Community Presbyterian Church of Rancho Santa Fe. Our campus facilities are available to members of our community for the use of approved organizations and events of San Diego.

As a way to make your guests feel welcome, it is our custom that one o our pastors will welcome your group and briefly provide some informational comments about the church. We have found that often times when visiting a church campus for an event, the participants will discover that the church has many programs and ministries that would be beneficial to the individual.

Use of Facilities
  1. The facilities of the Village Community Presbyterian Church (hereinafter referred to as The Village Church) are to be utilized primarily for the programs and activities of the church as planned and approved by the Session of The Village Church.

  2. Although the following policies and procedures apply to the use of all The Village Church facilities, most of these rules and guidelines apply most specifically for the utilization of the Fellowship Center.

  3. Use of the Village Church facilities by independent organizations or individuals, or for non-church related activities is subject to the following guidelines and restrictions:

    a. Use will not interfere with programs and activities of The Village Church.


    b. The permission for use of the facilities will be granted or denied by the Church Administrator, in accordance with these policies and procedures.


    c. The preferred use of the Fellowship Center is for wedding receptions given in connection with wedding ceremonies performed at The Village Church.


    d. Other not-for-profit charitable or community-based organizations may apply for use of the facilities in writing to the Church Administrator.


    e. The Village Church facilities may be utilized as a polling place for Federal, State and County elections.


    f. The Village Church facilities are not intended to be utilized in competition with commercially available facilities in the community such as restaurants, or for activities conducted or sponsored by legal entities or individuals who are engaged in for-profit business endeavors.


    g. The consumption of alcoholic beverages will be restricted to wedding receptions and dinners to be held in the Fellowship Center. Only wine and champagne will be permitted, and these will only be permitted to be served with dinner. Under no circumstances will hard liquor or beer be permitted to be served.


    h. The unlawful use of drugs anywhere on the Village Church campus is strictly forbidden.


    i. Smoking is prohibited in all Village Church buildings.


    j. Dancing will be permitted in the Fellowship Center by groups only if the group provides, installs and removes a temporary dance floor which has a protective layer between the temporary floor and the permanent carpet. A licensed and bonded company engaged in rental, installation and removal of such flooring will accomplish such installation and removal.


    k. Nothing is to be attached to the walls, furniture or equipment of the Village Church property. No permanent signs identifying a permitted use of any of the Village Church facilities are to be erected on the church property.


    l. Permitted use of the Fellowship Center will require execution of a signed contract by an authorized member of the petitioning organization; this agreement defines the responsibilities of both parties.


    m. The user organization will provide written evidence of liability insurance naming The Village Church as “ an additional named insured.” This certificate must be received in the church office at least 15 days prior to the event. The amount of coverage required by the Village Church will be $500,000.00 per incidence and $1,000,000.00 aggregate.


    n. The use of the Fellowship Center by an approved outside organization will require a “suggested donation” which will be utilized for facility operating and maintenance costs of The Village Church. The contract for use of the Fellowship Center will indicate requirements for security deposits and refunds and other terms and conditions of use.


    o. The use of the Fellowship Center during times when the church would normally be closed will require the services of an on-site church custodian. The fees for his/her service will be included in the “suggested donation” to be paid by the organization utilizing the facilities.


    p. Outside groups will not be permitted to utilize The Village Church Sanctuary, Chapel or Fellowship Center organ. Use of other musical instruments belonging to The Village Church, e.g., pianos, will be granted on an individual basis. Sound equipment and stage lighting will be permitted for use only with a member of the church sound/lighting crew operating same. The fee for the assistance of this person is not included in the suggested donation.


    q. Church property and equipment may not be removed for use off-premises of the Village Church.


Administration of the Facilities Policy
  1. The Church Administrator will maintain a master calendar and records to show all scheduled meetings and arrangement of facilities. Requests for reservations should be made directly to the Church Administrator who will obtain all pertinent information needed to determine the availability of the Fellowship Center.

  2. If the request is for meetings that are a part of the regular church program, the Church Administrator will assign a room and time and update the church master calendar

  3. Requests for use not related to regular church programs, by outside groups, or by members, will be handled as follows:

    a. Requests should be made to the Church Administrator who will send the group’s representative a copy of the “Agreement Regarding Use of the Village Church Facilities”, and an “Application for Use of the Village Church Facilities.”


    b. The completed application and agreement, signed by an authorized member of the requesting group, should be returned to the Church Administrator for his/her recommendation regarding the proposed use. The Church Administrator will then determine which requests to approve.


    c. Requests for extended use (i.e., regular or continued use over a three-month period) must be approved by the Support Committee.


    d. After approval of a request to use the facilities, the Church Administrator will notify the applicant of said approval. The custodians, and any other staff person who will be involved in this event will also be informed.


    e. The Church Administrator will be responsible for maintaining adequate files to ensure the receipt and accounting records of security deposits, approved agreements, insurance certificates and any other pertinent information regarding the use of the church facilities.
